Executive Assistant to the Vice President and Dean
Work Location: Office of the Vice President for Agriculture, LSU AgCenter, Baton Rouge, La.
Function: The Executive Assistant position provides administrative support to the Vice President of Agriculture and provides overall coordination of administrative activities in the Office of the VP.
About the LSU Agricultural Center: The LSU AgCenter, is one of eight campuses within the broader LSU enterprise (LSU System). The LSU AgCenter includes the Louisiana Agricultural Experiment Station, which conducts agricultural-based research, and the Louisiana Cooperative Extension Service, which extends the knowledge derived from research to the people of the state. The AgCenter is headquartered in Baton Rouge and has 12 “on campus” academic departments and five regions which are made up of 17 branch research stations and an extension office in each parish.For more information, visit the AgCenter’s web site at www.lsuagcenter.com.Administratively aligned with the AgCenter is the LSU A&M campus’s College of Agriculture which oversees the teaching function.Many AgCenter faculty hold joint appointments with the College of Agriculture, so coordination is important.
Position Description: Provides and supervises the administrative support functions for the Vice President for Agriculture including scheduling, meeting arrangements, correspondence and reports, record-keeping, and routine business activities. Has responsibility for clerical and other routine aspects of a wide range of support activities that arise in regular operations of the office, such as preparing for organizational conferences, making arrangements for visitors, preparing and distributing correspondence in connection with recurring events and processes, event publicity, policy development, updates and distribution, etc. Performs similar work for the Associate Vice Presidents/Program Leaders, particularly regarding those activities that cross programmatic areas. Provides supervision for the receptionist functions for the AgCenter. Supervises one full-time, classified position, indirectly supervises 6-8 student employees, and provides functional supervision to an additional full-time classified position. Handles a wide range of business functions involving accounting, purchasing, payroll, travel, and procurement. Serves as the point person for implementation and maintenance of organization-wide matters such as directories and organizational information. Is the building point person for issues such as facilities maintenance concerns, web-site updates, etc. May be assigned various projects to support the initiatives and directives of the Office of the Vice President for Agriculture and Dean of the College of Agriculture and other executive staff. Examples are office business plans, procedural manuals, and inventory. Works closely with the Executive Associate Dean of the College of Agriculture to support faculty, staff, undergraduate and graduate student programs and needs. Examples are budget and financial support, joint events and functions, communications between the AgCenter and College of Agriculture and other special project initiatives. Reports directly to the Vice President for Agriculture. May receive functional supervision from the Associate Vice President for Administration. Performs related duties as assigned.
Qualification Requirements: A baccalaureate degree, preferably in a field related to the duties of this position. Must have three to five years of related experience. Requires strong interpersonal, organizational, communication, and administrative skills.
