Assistant to the Director

WORK LOCATION: 4-H Youth Development, LSU AgCenter, Baton Rouge, LA.

POSITION DESCRIPTION: This position performs professional duties that involve a variety of administrative functions or responsibilities for a large, complex department or statewide program of the LSU AgCenter.This is the lead administrative staff position. This position has significant supervisory responsibility.Specific duties include:

Office Management

*Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.

*Maintains office efficiency by planning and implementing office systems, and layouts.

*Completes operational requirements by scheduling and assigning employees; following up on work results.

*Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.

*Maintains office staff by recruiting, selecting, orienting, and training administrative coordinators.

*Maintains office staff job results by coaching, counseling, and disciplining administrative coordinators; planning, monitoring, and appraising job results.

*Contributes to team effort by accomplishing related results as needed.

General Administrative Support

*Performs and coordinates various complex administrative activities related to all administrative functions, including but not limited to records management, travel, risk management, communications, information technology, janitorial/maintenance services, etc.

*Attends meetings, workshops and seminars when needed for the purposes of representing the unit or receiving training.

*Maintains familiarity with all LSU AgCenter policies concerning administrative matters and interprets policies in answering inquiries or in disseminating policy statements.

*Maintains departmental policies and procedures records.Keeps unit informed of changes/additions to these policies.

*Provides technical assistance and guidance to departmental personnel on internal procedures, AgCenter policies and other state and federal requirements affecting the full range of administrative activities.

*Provides technical assistance and guidance on internal programmatic areas as well.

*Provides or secures training for new employees on AgCenter policies and procedures.

*Supervises office staff by determining work assignments, recommending hiring and promotions, training staff, reviewing work, approving work, evaluating performance, and approving leave. *Counsels and advises office staff on work related problems.

Fiscal Management

*Coordinates the preparation of the annual budget; individual budgets for state projects; analyzing variances.

*Compiles budget data; monitors budget, makes budget projections, recommends budget adjustments.May authorize routine expenditures in accordance with established procedures.

*Provides technical assistance and guidance to faculty and staff regarding fiscal matters.Assists unit head with the fiscal function.

*Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.

QUALIFICATION REQUIREMENTS: The position requires a Bachelor’s degree. The successful candidate must have acceptable written and oral communication skills.
